Book appointments with Google Calendar
What you'll learn
- How to connect your business's Google Calendar
- How to set your time zone, appointment length, and business hours
- How your team and your AI Agent book appointments from the chat
- How to cancel or reschedule an existing appointment
Connect your business's Google Calendar to Parlario and let your team — or your AI Agent — book appointments straight from a WhatsApp or Instagram conversation, without leaving the chat. This integration uses a single calendar per business (no individual calendars per salesperson), and only the organization owner can connect, configure, or disconnect it.
It's available on the Business and Advanced plans. If you're on the Essential plan, you'll see the Google Calendar card under Settings → Extensions → Integrations with a note to upgrade your plan.
Turn on the integration
As the owner, go to Settings → Extensions → Integrations and turn on the "On" toggle on the Google Calendar card. This step doesn't connect any account yet — it just enables the integration for your organization and reveals the next step.
Connect your Google account
With the integration on, a new "Google Calendar" tab appears under Extensions (with its own icon). Open it and click "Connect your Google account." We'll ask you to sign in with Google and authorize access — Parlario only requests permission to create events on your calendar, never to read anything else in your Google account.
Set your time zone, appointment length, and business hours
Once your account is connected, that same tab lets you pick your time zone, how long each appointment lasts (15 to 120 minutes — sets how often times are offered and how much space each appointment takes up on your real calendar), and, for each day of the week, whether your business is open and at what time (or if that day is closed). Every appointment and time slot shown to a customer respects this configuration — these fields stay disabled until your account is connected.
Book from the Inbox, or let your Agent do it
In any conversation with the 24-hour window open, you'll see a calendar icon next to the emoji button in the message box. Pick a date, see the available times, optionally add a note (e.g. the reason for the visit — it's saved as the description of the Google Calendar event), and book with one click. If your AI Agent is active, it can also offer times and book for you, adding that note from the conversation's context when it makes sense — always confirming explicitly with the customer before creating the appointment.
Cancel or reschedule an existing appointment
Any team member can cancel or reschedule an appointment that's already booked — open the customer's conversation and look for the "Upcoming appointment" section in the Details panel, on the right side of the Inbox. "Cancel" asks for confirmation before deleting the real Google Calendar event; "Reschedule" opens the same available-times picker used to book, and the appointment moves automatically to the new time you pick.
If you turn the "On" toggle off later, your Google account stays connected in the background — it just hides access (the tab, the chat icon, the Agent) until you turn it back on. To actually disconnect the account, use the "Disconnect" button inside the "Google Calendar" tab, which stays available regardless of the toggle's state.
Recap
- Available on the Business and Advanced plans
- Only the organization owner can connect, configure, or disconnect the calendar
- A single calendar per business — no individual calendars per salesperson
- Your AI Agent ALWAYS asks for explicit confirmation before creating an appointment — it never books just because the customer mentioned wanting one
- If a customer asks about availability, the Agent offers at most 4 time slots per day
- Any team member can cancel or reschedule an appointment from the conversation's Details panel — the AI Agent can only create new appointments; if a customer asks to cancel or change one, the Agent hands off to a human
